Interview Invitation Email Templates for Small Teams
Three copy-and-adapt email templates for inviting a candidate to an interview — onsite, video, and reschedule. Each confirms the role, stage, date, time zone, duration, and who to contact. No login, no sending, no personal-data fields.
Set clear logistics so a candidate arrives prepared
An interview invitation confirms the practical details before the conversation — the role and stage, the date, day, time and time zone, the duration, where to go or how to join, who the candidate will meet, what to expect, how to confirm, and who to contact about the format or access arrangements. A clear invitation helps the candidate show up ready and avoids a missed slot.
These templates are generic starting points. Replace every bracketed placeholder, confirm the details are accurate, and review the full message before sending from your own email program. They don't send, schedule, or sync to a calendar automatically — and confirming a slot is a separate step.
This is a public resource, not part of the HR Co-Pilot app. The templates are selectable text — select the subject and body, then copy them into your email editor and replace every placeholder. This worksheet has no data-entry controls. Nothing on this page sends email or collects personal details.

What to verify before the invitation
A proposed time isn't a confirmed slot. Confirm the details below before you draft the invitation, and confirm the booking with the candidate before you treat it as set.
Actual role and stage
Confirm the job title and which interview stage this is before you draft the invitation.
Date, time, and time zone
Confirm the proposed date and time, and state the time zone so the candidate arrives at the right time.
Interviewer availability
Confirm each named interviewer is actually available before listing them in the invitation.
Location or approved meeting link
For an onsite interview, confirm the address and check-in. For a video interview, create the meeting and confirm the link opens before sending.
Duration
Confirm how long the interview runs so the candidate can plan and the schedule stays realistic.
Confirmation owner
Name who confirms the booking and who the candidate should contact about format or access questions.
What the candidate should expect
Briefly describe the format and any optional preparation so the candidate can prepare.
Copy-and-adapt invitations
Onsite, video, and reschedule messages. Select the subject and body, copy them into your email editor, and replace every placeholder. Use a full date, day, time and time zone — not a bare weekday.
Onsite interview invitation
A practical message inviting a candidate to an in-person interview, confirming the role, stage, date, day, time and time zone, duration, location, arrival and check-in, interviewer roles, what to expect, any requested preparation, how to confirm, and who to contact about the format or access arrangements.

Rescheduling your [Job title] interview at [Company name]
Body
Hi [Candidate first name], We need to reschedule your interview for the [Job title] role at [Company name]. Your previous slot on [old date] at [old time] [time zone] has been canceled — please disregard that time. Could one of the following work instead? - Option A: [Date], [Day], [Start time] [Time zone], for [Duration] - Option B: [Date], [Day], [Start time] [Time zone], for [Duration] Please reply with the option that works for you. Once you confirm, I'll send the updated [onsite location or video link] and the interviewer details for the new time. If neither works, let me know a few times that suit you and we'll find another slot. For questions about the interview format or access arrangements, contact [designated company contact role] at [approved contact channel]. Sorry for the change, and thanks for your flexibility. Best regards, [Sender name] [Role], [Company name] [Contact details]
What to personalize & check
- State plainly that the old slot is canceled so the candidate doesn't show up at the old time.
- Offer at least two alternative times, each with date, day, time and time zone.
- Send the new link or location only after the candidate confirms a new time.
- Use a neutral tone — don't imply false urgency or a deadline that hasn't been approved.
- Replace every bracketed placeholder with your actual details before sending.
A proposed time is different from a confirmed slot. The invitation communicates a time you'd like; the slot is confirmed only when the candidate replies and the designated owner confirms. These templates don't automatically schedule, send, or sync to a calendar.
Ambiguous vs. explicit timing
Use a full date, day, time and time zone — not a bare weekday — so the candidate shows up at the right slot.
Tuesday at 2.
Which Tuesday? Which time zone? Without a date and time zone, the candidate may show up on the wrong day or at the wrong time.
Tuesday, [month] [day], [year], from 2:00 PM to 2:45 PM [time zone], at [address or approved video link].
A full date, day, time, time zone and duration with a verified location or link gives the candidate everything they need.
A quick check before you send. Each item is a practical reminder — it doesn't score anything or make a hiring decision.
- Role and interview stage match the actual role and stage.
- Date, day, start time, time zone and duration are stated and correct.
- Each named interviewer is available and their role is correct.
- Onsite: address, floor or suite, arrival and check-in are accurate. Video: the meeting link is created and opens.
- A backup contact role and approved channel are named for platform or access problems.
- It's clear who confirms the booking and how the candidate replies.
- If rescheduling, the old slot is explicitly canceled and the new link is sent only after confirmation.
- The message doesn't promise a hiring decision, an offer, or a start date that hasn't been approved.
A sample internal split of who does what. Roles are fictional — no personal data. Confirm the actual owners for your organization before you send.
Hiring coordinator (fictional)
Confirms the proposed time with the candidate, sends the invitation, and cancels or reschedules the slot if it changes.
Lead interviewer (fictional)
Confirms the agenda, who asks which questions, and that the interviewers are available at the proposed time.
Designated contact (fictional)
Handles format and access-arrangement questions and routes any accommodation requests through the approved HR process.
What goes wrong — and how to fix it
Mismatched time zone
Always state the time zone. If the candidate is in a different one, offer to convert and confirm the converted time together.
A stale or untested video link
Create the meeting and open the link to confirm it works before you send the invitation.
Unclear arrival or check-in
Give the address, floor or suite, who to ask for, and how to enter the building.
An old slot that isn't canceled
If you reschedule, state plainly that the old slot is canceled so the candidate doesn't show up at the old time.
Overpromising an outcome
Invite the candidate to the interview only — don't imply a decision, an offer, or a start date that hasn't been approved.
The AI HR assistant can help you talk through what to include in an invitation, and the document generator can draft a starting point. You still confirm every detail — role, stage, date, time, time zone, interviewers, and the approved location or link — before you send from your own email.
