Check What an HR Software Integration Actually Transfers

Evaluate an ongoing connection by field mapping, direction, update timing, and exception ownership — with a fictional two-system example and a blank evaluation log.

How to use this checklist

Evaluate a proposed ongoing connection

A file export moves records once. A proposed integration may keep two systems connected over time, though some use scheduled, batch, or manual steps — confirm the exact model with the provider. The questions that matter are which field maps, which direction the update flows, when it triggers, and who owns an exception when source and destination disagree. This buyer worksheet helps you evaluate one connector in a provider-arranged demo using synthetic contact-only records, and record what was and was not demonstrated.

This page is published by HR Co-Pilot and is a public buyer worksheet, not an app feature, not a connector, and not a security audit. The authorized vendor demonstrates the integration in a provider-arranged demo using synthetic records; you record observations. Do not use real sensitive employee data, create credentials, or change real access to run this exercise.

The text below is selectable — copy the evaluation-log labels into your own document. This worksheet has no data-entry controls.

METHOD
  • 1.Name the connector, source, and destination before the demo.
  • 2.Ask the provider to arrange a synthetic contact-only demo.
  • 3.Observe field mapping, direction, and timing separately.
  • 4.Record what was demonstrated — and what stays open.

Examples from official product pages

These are attributed descriptions of official product pages, not an independent test or a guarantee of current entitlements. Confirm the exact connector and plan before relying on any integration.

BambooHR — In-App Marketplace

BambooHR describes an in-app marketplace whose listing details cover capabilities, synced data, pricing, and support, with supported or partner-managed setup. Confirm the current connector, plan, and setup model; this is a vendor description, not a guarantee of specific fields, direction, or timing.

Paychex — Integrations

Paychex describes a marketplace with API and developer resources for connecting systems. Confirm the current connector and plan; do not assume specific fields, direction, or timing from this marketing page.

Fictional case

Source A and Destination B — contact-only synthetic records

The case uses two fictional systems and contact-only synthetic records — no real employees, no pay, bank, tax, or medical data. Source A changes a contact role from Role1 to Role2. At the fictional observation, Destination B still shows Role1. The agreed timing was not confirmed, so the item stays open — you cannot conclude a sync failure. A reverse update was not demonstrated, which does not by itself prove the connection is one-way.

Initial value: both Source A and Destination B showed the contact role as Role1 (synthetic Sample-Contact-1).

Fictional illustration — written for this page, not a live product result. An unconfirmed timing or an undemonstrated reverse update is an open question, not a vendor verdict.

Blank Evaluation Log

One entry per connector you evaluate

The field labels below are selectable — copy them into a spreadsheet or document. There are no input fields and this worksheet has no data-entry controls. Leave any field open until the authorized owner confirms it.

Integration evaluation entry

Product, plan, and connector owner

[Exact product, plan, connector name, owner, and version]

The connector you evaluate, who owns it, and its current version.

Source system and destination

[Source system and destination system]

Which system the data leaves and which it enters.

Synthetic identifier

[Synthetic contact-only label used in the demo]

A dummy label arranged by the provider — no real employee data.

Field mapping and transformation

[Field mapped, any transformation applied]

Which field moves and whether it is reformatted on the way.

Direction

[One-way or two-way — confirmed or unconfirmed]

Whether the update flows one direction or both.

Agreed trigger and timing

[Agreed trigger and timing for the update]

When the update is supposed to run — and whether it is confirmed.

Observed timestamp and value

[Observed timestamp and value in the demo]

What the synthetic demo showed, not a production result.

Missing or conflicting update evidence

[Missing or conflicting update evidence]

Where source and destination disagreed or a value was absent.

Resolution owner and next vendor question

[Resolution owner and next vendor question]

Who owns the open item and the next question to ask the provider.

Illustrative Example

A contact-role change with timing unconfirmed

The following describes a fictional case written for this page. It contains no real employee data and no computed result. The entry stays open — not a pass/fail vendor verdict — until the agreed timing is confirmed and the reverse direction is demonstrated or ruled out for the plan you evaluate.

Product, plan, and connector owner

Fictional Source A to Destination B connector (demo only) — owner: people operations coordinator (fictional).

Source system and destination

Source A (orientation contact record) to Destination B (employee directory).

Synthetic identifier

Sample-Contact-1 (synthetic, contact-only).

Field mapping and transformation

Contact role field mapped directly — no transformation demonstrated.

Direction

Proposed Source A to Destination B direction; successful transfer and reverse direction not demonstrated.

Agreed trigger and timing

Agreed timing not confirmed — [to confirm with provider].

Observed timestamp and value

Source A showed Role2 at the fictional observation; Destination B still showed Role1.

Missing or conflicting update evidence

Destination B had not updated to Role2 at the fictional observation; reverse update not shown.

Resolution owner and next vendor question

People operations coordinator (fictional). Status: Open — even confirmed timing alone does not establish cause or failure; require a repeat provider demo and evidence of mapping, trigger, and scope before concluding. Next question: what is the agreed trigger and timing, and is the reverse direction supported?

An open question with a named owner is the useful outcome — not a product verdict. Source and destination evidence is scoped to the synthetic demo; it does not establish production behavior.

Vendor Checks

Five checks and ownership questions before relying on a connector

These are questions to confirm with the provider — not instructions to create credentials, run a live integration, or change real access.

  • 1Which fields map across, and is any transformation applied? Ask the provider to show the mapping with synthetic labels.
  • 2Is the update one-way or two-way? A reverse update not demonstrated does not by itself prove the connection is one-way — ask the provider to confirm direction for the plan you evaluate.
  • 3What triggers the update, and what is the agreed timing? A value not yet updated at one observation is not proof of failure if timing was not confirmed.
  • 4What happens to a conflicting or missing value? Ask who owns the exception and how it is surfaced — not silently dropped.
  • 5Who owns setup, support, and corrections — supported by the vendor, partner-managed, or your team? Confirm what the written quote and contract include.

Common questions about integration evaluation

No. This is a public buyer worksheet for evaluating a connector in a provider-arranged demo with synthetic contact-only records. It is not a connector, not a live integration, and not a hands-on product test. Confirm exact product and plan scope directly with the provider.
